PuttKeep privacy policy

PuttKeep makes phone scorecards for mini golf courses. It’s run by an independent sole proprietor based in New York, NY. Contact: [email protected] or the form at puttkeep.com/courses/. Mail: 608 Fifth Avenue, 11th Floor, New York, NY 10020.

Players

Game counter (only if turned on)

When a game finishes, the scorecard may send us the course, number of holes, number of players and the date. It sends no names and no scores. We use this only to tell a course how many games were played.

Course owners

When you use our contact form or sign up for a free trial, we collect your name, course name, email, number of holes and your message. If you ask to keep your scorecard, we also record that you agreed to the terms: which version, the price, the date and time, the email on the form and a copy of the exact wording you agreed to. Our host, Cloudflare, stores form submissions in its database, and each one is emailed to our own inbox through our email provider, Resend (https://resend.com/legal/privacy-policy). To limit spam we keep a one-way hash of your IP address, never the address itself, and your browser’s user-agent. We use your details only to talk with you about a scorecard for your course, including setup, your trial and your subscription. We take payments through Square, which handles your card under its own privacy policy (https://squareup.com/us/en/legal/general/privacy). We don’t add you to mailing lists. If you become a customer, we keep billing records as long as tax law requires. Otherwise, we delete inquiry details within 24 months of our last contact, or sooner if you ask.

Subscriptions. If you keep your scorecard after the trial, we bill you with a monthly Square invoice. Square stores your card on file and charges it automatically each month. We never see your full card number. Square tells us only what we need to run your account, such as your name, email, and whether a payment went through.

Referrals. If you signed up through a PuttKeep ambassador’s link or code, we record that code with your signup. The code travels in the link and a field on the signup form. We don’t use cookies or store anything on your device to track it. We tell that ambassador your course name, whether you subscribed and the commission it earned them. We never share your email or payment details with ambassadors.

When your account closes (the trial ends without a subscription, you cancel, or a payment stays unpaid), we keep your course’s setup for 12 months so you can pick up where you left off, then delete it. Ask us anytime and we’ll delete it sooner.

Ambassadors

If you join our ambassador program, we collect your name, email, mailing address, payout details and tax form (W-9). We use them only to run the program, pay you and meet tax rules. We keep them as long as tax and contract law require (up to 6 years), then delete them.

Hosting

Our website is hosted by Cloudflare. Like any web host, Cloudflare automatically processes technical data such as IP addresses, browser type and pages requested, to deliver and secure the site. What we never do

We don’t sell or rent personal information, and we don’t share it for advertising.

Children

The scorecard is for families and general audiences. We don’t knowingly collect personal information from anyone, including children under 13. Player names never leave the phone. If you think a child’s information reached us, email us and we’ll delete it.

Your choices

Email us ([email protected]) or use the contact form to see, correct or delete anything we hold about you. We’ll reply within 30 days.

Changes

If this policy changes, we’ll update the date above. We won’t start collecting player information without updating this policy first.
